Job Description: Archives Coordinator
Position Overview:
The Archives Coordinator is responsible for managing and overseeing the archival processes within the organization's library and information science department. This role involves organizing, preserving, cataloging, and providing access to a wide range of historical records, documents, and other materials. The Archives Coordinator plays a pivotal role in maintaining the integrity and accessibility of the organization's archival collections.
Key Responsibilities:
1. Develop and implement effective strategies for organizing and managing archival collections.
2. Ensure the proper handling, preservation, and storage of archival materials, including records, manuscripts, photographs, audiovisual materials, and digital assets.
3. Create and maintain accurate and detailed cataloging systems to facilitate efficient retrieval and access to archival materials.
4. Conduct regular assessments of the archival collections to identify preservation needs and prioritize conservation efforts.
5. Collaborate with internal stakeholders to acquire, appraise, and accession new materials into the archives.
6. Assist researchers, staff, and other stakeholders in accessing and utilizing archival resources, providing guidance and support as needed.
7. Develop and implement policies and procedures to ensure compliance with ethical and legal standards for archival practices.
8. Stay abreast of emerging trends, technologies, and best practices in archival management to enhance the efficiency and effectiveness of archival operations.
9. Train and educate staff members on proper handling, preservation, and cataloging techniques for archival materials.
10. Collaborate with other departments, organizations, and institutions to facilitate resource sharing and promote the organization's archival collections.
Required Skills and Qualifications:
1. Bachelor's degree in Library and Information Science, Archival Studies, or a related field. A Master's degree in Library and Information Science or Archival Studies is preferred.
2. Proven experience in managing archival collections, including cataloging, preservation, and access.
3. Strong knowledge of archival principles, practices, and standards, such as DACS, EAD, and MARC.
4. Proficiency in using archival management software or systems, such as Archivists' Toolkit, ArchivesSpace, or PastPerfect.
5. Familiarity with digitization processes and standards for digitizing archival materials.
6. Excellent organizational skills, with the ability to prioritize and manage multiple tasks and projects simultaneously.
7. Attention to detail and accuracy in cataloging and metadata creation.
8. Strong communication and interpersonal skills, with the ability to work collaboratively with diverse stakeholders.
9. Knowledge of copyright and intellectual property laws as they relate to archival collections.
10. Ability to handle and lift moderately heavy boxes or containers of archival materials.
