Job Description: Dance Event Planner
Position Overview:
The Dance Event Planner is responsible for overseeing the planning, coordination, and execution of various dance events, ensuring their successful delivery from conception to post-event evaluation. This role requires exceptional organizational skills, a keen eye for detail, and the ability to manage multiple tasks simultaneously. The Dance Event Planner will work closely with internal teams, artists, vendors, and clients to ensure the seamless execution of dance events that meet or exceed expectations.
Responsibilities:
- Develop and execute comprehensive event plans, including timelines, budgets, and resources, for a variety of dance events.
- Collaborate with internal stakeholders to understand event objectives, themes, and target audience in order to create impactful event experiences.
- Source and negotiate with vendors, including venues, technical support, caterers, and transportation, to ensure all logistical elements of the event are in place.
- Coordinate event logistics, such as artist bookings, travel arrangements, accommodation, rehearsals, sound and lighting requirements, and stage setup.
- Create and manage event budgets, closely monitoring expenses and ensuring adherence to financial guidelines.
- Prepare and distribute event-related materials, including invitations, programs, schedules, and signage.
- Coordinate event ticketing, registration, and RSVP processes, ensuring accurate attendee records and seamless check-in procedures.
- Oversee event promotion and marketing efforts, in collaboration with the marketing team, to maximize attendance and reach the target audience.
- Liaise with artists, performers, and their representatives to ensure contractual obligations are met and their needs are accommodated during the event.
- Manage event day operations, including on-site setup, coordination of staff and volunteers, troubleshooting any issues that may arise, and ensuring a smooth event flow.
- Conduct post-event evaluations, analyzing attendee feedback, event success, and areas for improvement, and make recommendations for future events.
- Stay up-to-date with industry trends, best practices, and emerging technologies in event planning and production.
Qualifications:
- Bachelor's degree in Event Management, Arts Administration, Dance, or a related field.
- Minimum of X years of experience in event planning, preferably within the entertainment or performing arts industry.
- Strong knowledge and understanding of dance events, including various dance styles, performance requirements, and technical aspects.
- Proven ability to manage multiple projects simultaneously, prioritize tasks, and meet deadlines in a fast-paced environment.
- Excellent interpersonal and communication skills, with the ability to effectively collaborate with diverse stakeholders, including artists, vendors, clients, and internal teams.
- Exceptional organizational skills, with meticulous attention to detail and the ability to manage event logistics efficiently.
- Strong negotiation and vendor management skills, ensuring cost-effective solutions without compromising quality.
- Proficient in using event management software and tools for budgeting, scheduling, registration, and ticketing.
- Demonstrated problem-solving skills, with the ability to think on your feet and handle unexpected challenges during events.
- A passion for the performing arts, particularly dance, and a genuine interest in creating memorable event experiences.
- Flexibility to work evenings, weekends, and travel as required for event planning and execution.
