Summary:
The Legal Receptionist is responsible for providing exceptional customer service, administrative support, and maintaining a professional and organized front office environment for a busy law firm. This position requires excellent communication skills, attention to detail, and the ability to handle multiple tasks simultaneously while maintaining a positive and welcoming demeanor.
Responsibilities:
1. Greet clients, visitors, and staff in a courteous and professional manner, ensuring a warm and welcoming experience.
2. Answer incoming calls, directing them to the appropriate person or department promptly and accurately.
3. Schedule appointments, meetings, and conference room reservations, ensuring proper coordination and efficient use of resources.
4. Maintain the reception area, ensuring it is clean, organized, and presentable at all times.
5. Receive and distribute incoming mail, packages, and deliveries to the appropriate recipients.
6. Assist with basic clerical tasks such as filing, photocopying, scanning, and faxing documents as needed.
7. Maintain and update client records, ensuring accuracy, confidentiality, and compliance with data protection regulations.
8. Assist attorneys and legal staff with administrative tasks, including drafting correspondence, proofreading documents, and preparing court filings.
9. Coordinate and schedule travel arrangements for attorneys and staff as required.
10. Handle and resolve client inquiries and complaints promptly and professionally, escalating complex issues to the appropriate personnel.
11. Collaborate with other administrative staff to ensure smooth office operations and provide support as needed.
Qualifications:
1. High school diploma or equivalent; additional certification or coursework in office administration or related field is preferred.
2. Proven experience as a receptionist or in a similar administrative role, preferably within a law firm or legal environment.
3. Excellent verbal and written communication skills, with the ability to effectively interact with clients, staff, and external parties at all levels.
4. Strong organizational and multitasking abilities, with the capacity to prioritize tasks and meet deadlines in a fast-paced environment.
5. Proficient in using Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and other office equipment.
6. Knowledge of legal terminology and procedures is desirable.
7. Demonstrated professionalism, integrity, and discretion when handling confidential and sensitive information.
8. Exceptional customer service skills, with a strong commitment to providing a positive client experience.
9. Ability to work independently as well as part of a team, demonstrating flexibility and adaptability.
10. Strong attention to detail and accuracy, with excellent proofreading and editing skills.
11. Reliable, punctual, and committed to maintaining a professional and polished appearance.
