Job Description: Property Management Executive Assistant
Position Summary:
The Property Management Executive Assistant provides high-level administrative support to the Property Management department, ensuring the efficient operation of all property management activities. This role requires exceptional organizational skills, strong attention to detail, and the ability to handle multiple tasks simultaneously. The Executive Assistant will assist in managing property portfolios, coordinating property maintenance activities, and facilitating effective communication between stakeholders.
Key Responsibilities:
1. Assist in managing property portfolios, ensuring compliance with regulations, lease agreements, and company policies.
2. Coordinate property maintenance activities, including scheduling repairs, inspections, and preventive maintenance.
3. Maintain accurate records of property-related documents, leases, and contracts.
4. Communicate effectively with tenants, property owners, contractors, and other stakeholders to address inquiries, concerns, and maintenance requests.
5. Prepare and distribute regular reports, such as financial statements, occupancy reports, and property performance summaries.
6. Assist in the preparation of budgets and forecasts for property management activities.
7. Organize and schedule meetings, appointments, and property showings on behalf of property managers.
8. Monitor and maintain property management databases, ensuring data accuracy and integrity.
9. Support property managers in the preparation and execution of property marketing strategies.
10. Facilitate the collection and processing of rent payments and ensure timely communication with tenants regarding payment-related issues.
11. Collaborate with the accounting department to ensure accurate and timely processing of invoices, payments, and financial transactions.
12. Assist in the preparation and review of lease agreements, rental applications, and other property-related documentation.
13. Conduct research on industry trends, local market conditions, and legal requirements to support informed decision-making.
14. Maintain confidentiality and handle sensitive information with discretion.
Required Skills and Qualifications:
1. Bachelor's degree in Business Administration, Real Estate, or a related field.
2. Proven experience (X years) as an executive assistant or in a similar administrative role.
3. Strong knowledge of property management principles, regulations, and best practices.
4. Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
5. Exceptional attention to detail, ensuring accuracy in documentation and data management.
6. Excellent communication and interpersonal skills, with the ability to build positive relationships with diverse stakeholders.
7. Proficiency in using property management software and MS Office Suite (Word, Excel, PowerPoint, Outlook).
8. Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
9. Strong problem-solving and decision-making abilities.
10. High level of professionalism, integrity, and discretion in handling confidential information.
11. Knowledge of financial principles related to property management, such as budgeting and financial analysis.
