Job Description: Property Management Vendor Coordinator
Position Summary:
The Property Management Vendor Coordinator is responsible for overseeing and coordinating all aspects of vendor management within the Real Estate and Property Management department. This role requires exceptional organizational skills, keen attention to detail, and the ability to effectively communicate with vendors, property managers, and other stakeholders. The Property Management Vendor Coordinator plays a crucial role in ensuring the smooth and efficient operation of property management services.
Key Responsibilities:
1. Manage and coordinate all vendor activities related to property management, including but not limited to contractors, suppliers, and service providers.
2. Develop and maintain strong relationships with vendors, ensuring timely and efficient communication and addressing any concerns or issues promptly.
3. Evaluate vendor performance and adherence to service level agreements (SLAs) and key performance indicators (KPIs), and provide feedback to the property management team.
4. Collaborate with property managers to identify vendor needs, specifications, and requirements for property maintenance, repairs, and improvements.
5. Facilitate the bidding process for vendor selection, including preparing and distributing requests for proposals (RFPs) and evaluating vendor proposals.
6. Negotiate contracts, pricing, and terms with vendors, ensuring favorable terms and conditions and adherence to company policies and budgetary constraints.
7. Monitor vendor compliance with contractual agreements, including insurance requirements, licenses, and certifications.
8. Maintain accurate vendor records, including contact information, contracts, insurance certificates, and performance evaluations.
9. Track and analyze vendor performance metrics, identifying trends, areas for improvement, and potential cost-saving opportunities.
10. Collaborate with the accounting department to ensure timely and accurate processing of vendor invoices, resolving any discrepancies or issues.
11. Stay updated on industry trends, best practices, and regulatory requirements related to vendor management in the real estate and property management field.
12. Assist in the development and implementation of vendor management policies, procedures, and guidelines to ensure consistent and efficient vendor management practices.
Qualifications:
1. Bachelor's degree in business administration, real estate management, or a related field.
2. Proven experience in vendor management, preferably in the real estate or property management industry.
3. Strong knowledge of vendor management principles, practices, and industry standards.
4. Demonstrated ability to effectively communicate and build relationships with vendors and internal stakeholders.
5. Excellent negotiation and contract management skills.
6. Exceptional organizational and time management abilities, with the capability to handle multiple tasks and prioritize effectively.
7. Strong analytical and problem-solving skills, with the ability to identify patterns, trends, and opportunities for improvement.
8. Proficiency in using vendor management software and other relevant software applications.
9. Solid understanding of financial and budgetary concepts as they relate to vendor management.
10. Detail-oriented with a strong focus on accuracy and quality.
11. Ability to work independently and as part of a team, with a proactive and collaborative approach.
12. High level of professionalism, integrity, and ethical behavior.
