Job Summary:
The Consulate Secretary plays a crucial role in supporting the Consulate General in the execution of administrative and diplomatic tasks. This position requires excellent organizational skills, attention to detail, and the ability to handle sensitive and confidential information. The Consulate Secretary will be responsible for managing administrative duties, coordinating diplomatic correspondence, and providing efficient support to maintain the smooth functioning of the consulate.
Key Responsibilities:
1. Assist the Consulate General in managing the daily administrative tasks and maintaining an organized and efficient office.
2. Handle and prioritize incoming communication, including emails, letters, and phone calls, and ensure timely responses or appropriate redirection.
3. Coordinate and manage the Consulate General's calendar, schedule appointments, meetings, and diplomatic events.
4. Draft, format, and proofread official diplomatic correspondence, reports, and other documents with accuracy and attention to detail.
5. Maintain an organized filing system to ensure easy retrieval and confidentiality of sensitive information.
6. Act as a liaison between the Consulate General and internal/external stakeholders, including government officials, diplomats, and local authorities.
7. Assist in organizing and coordinating official visits, events, and receptions, including logistical arrangements, invitations, and protocol requirements.
8. Prepare briefing materials and gather relevant information for the Consulate General's meetings, conferences, and official engagements.
9. Handle visa and consular matters, providing guidance and assistance to visa applicants in accordance with established policies and procedures.
10. Maintain and update the consulate's database of contacts, ensuring accuracy and completeness.
11. Manage travel arrangements, including visa applications, flight bookings, and accommodation, for the Consulate General and visiting diplomats.
12. Assist in financial management, including processing invoices, expense reports, and maintaining budget records.
13. Ensure compliance with relevant laws, regulations, and protocols governing consular activities.
Required Skills and Qualifications:
1. Bachelor's degree in International Relations, Political Science, or a related field.
2. Proven experience in a similar role within a diplomatic mission, government agency, or international organization.
3. Excellent organizational and time management skills, with the ability to prioritize and multitask effectively.
4. Exceptional written and verbal communication skills, with fluency in English and proficiency in an additional language as required by the consulate.
5. Strong attention to detail and accuracy when composing and proofreading diplomatic correspondence and reports.
6. Proficient computer skills, including MS Office Suite and database management.
7. Ability to handle confidential and sensitive information with discretion and maintain a high level of professionalism.
8. Knowledge of diplomatic protocols, procedures, and etiquette.
9. Strong interpersonal and diplomatic skills, with the ability to effectively interact with individuals from diverse cultural backgrounds.
10. Flexibility to work outside regular office hours and travel occasionally as per consulate requirements.
