Job Summary:
The Event Planner will be responsible for organizing and coordinating all aspects of events within the hospitality and tourism industry. This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple projects simultaneously. The Event Planner will work closely with clients, vendors, and internal teams to ensure the successful execution of events.
Key Responsibilities:
1. Collaborate with clients to determine event objectives, requirements, and budget constraints.
2. Conduct research and propose suitable venues, vendors, and suppliers for events.
3. Plan logistical details such as event timelines, transportation, accommodation, and equipment needs.
4. Coordinate event services, including catering, entertainment, audiovisual, and décor arrangements.
5. Develop and maintain relationships with vendors and negotiate contracts to ensure cost-effective event solutions.
6. Create and manage event budgets, ensuring expenses are within the allocated budget.
7. Oversee event registration processes, including ticketing, guest lists, and RSVPs.
8. Coordinate event marketing efforts, including invitations, promotional materials, and social media campaigns.
9. Manage event logistics on-site, including setup, breakdown, and troubleshooting.
10. Ensure compliance with all legal, health, and safety regulations throughout the event.
11. Evaluate event success and gather feedback from clients and attendees for continuous improvement.
Required Skills and Qualifications:
1. Bachelor's degree in Hospitality Management, Event Planning, or related field.
2. Proven experience as an Event Planner or similar role within the hospitality and tourism industry.
3. Strong organizational skills with the ability to manage multiple tasks and deadlines.
4. Excellent attention to detail and problem-solving abilities.
5. Exceptional communication and interpersonal skills to effectively interact with clients, vendors, and team members.
6. Proficient in event management software and Microsoft Office Suite.
7. Knowledge of event planning best practices and industry trends.
8. Ability to work under pressure and meet tight deadlines.
9. Flexibility to work evenings, weekends, and holidays as required.
10. Strong negotiation and contract management skills.
11. Ability to adapt and thrive in a fast-paced, dynamic environment.
